Palladium Group Job Vacancy 2022

Duties and Responsibilities: The Finance Specialist will report to the Finance Manager. The Finance Specialist will be supporting to ensures that all financial records of all the projects costs are in accordance with Palladium financial policies and procedures and donor (USAID) rules and regulations. He/she must demonstrate the ability to use sound business judgement in assuring that all records to the financial system are accurate and necessary for the operations of the MS4G projects.  He/she makes sure that all government taxes and other obligations are deducted and paid on time. Responsibilities include:

  • Ensure that payment request documents are duly filled out and signed by the appropriate person with the necessary and required supporting documents attached in compliance with all Palladium procedures and policies, donor requirements as well as the law of the country.
  • Review all the documents submitted by staffs to settle their advances make sure all the documents are genuine and investigate any relevant question raided or address to the DCD – O & C.
  • Ensure that all costs and travels have adequate prior authorization and approval.
  • Process travel advances to project staff and follow up on outstanding balances.
  • Monitor cash position and carry out timely action depending on status.
  • Verify, allocate, post, update and reconcile all financial transactions.
  • Make sure that all the expenses are included in the system accordingly and reviewing the payment being checked approved and backed with all the necessary documentation.
  • Ensuring all the reporting requirements from the project sides are satisfied.
  • Prepare monthly payroll for review, and deposit payroll related taxes to appropriate government entity on a timely basis.
  • Make sure that all government taxes & other obligations are deducted & paid on time.
  • Coordinate requests for VAT reimbursement with USAID per the established procedure and follow up the reimbursement.
  • Prepare outstanding advance report to be reviewed by Finance Manager.
  • Assist Finance Manager during the reporting.
  • Providing assistance in supervising Finance Assistant
  • Reviewing day-to-day accounting and submitting financial reports, when needed
  • Ensuring compliance with all donor and home office procedures
  • Implement systems and ensure proper checks and balances to mitigate potential for fraud or improper use of funds
  • Coordinating development of activity budgets and management of field expenses and its submission to Finance manager
  • Determining cost projections and submitting requests for funds monthly and its submission to Finance manager
  • Respond to vendor inquiries regarding status of vouchers and payments.
  • Provide finance orientation to new staffs.
  • Other duties as assigned by the Finance manager.
