Duties and Responsibilities:

  • Help in facilitating the organization of trips of the Resident Representative, Director of the RSCA and other Senior staff members trips, in particular with access to the VIP lounge at the airport, immigration formalities and visa;
  • Coordinate the provision of protocol services between the United Nations Development Programme and Ethiopian Ministry of Foreign Affairs;
  • Provide guidance to senior staff, including the Resident Representative and Director of the Regional Service Center for Africa, for high-level and official visits of UNDP personages;
  • Coordinate with key stakeholders to facilitate arrival and departure arrangements for high-level visits and dignitaries;
  • Liaise with internal and external stakeholders to obtain visas, permits and Residence ID cards for International Professionals;
  • Oversees visits and events as they occur in a real time, often in a 24/7 environment where there is little margin for error;
  • Identify and visit in advance venues of activities and meetings to make appropriate protocol arrangements;
  • Resolves urgent, confidential and sensitive issues as they arise and manages multiple and changing priorities and demands from clients, stakeholders and representatives of official visitors;
  • Intervenes and takes immediate action to ensure that the dignity and integrity of the occasion is preserved.
  • Perform and implement all custom clearance activities such as following upcoming Shipment, documents transactions and day-to-day related activities in accordance with the objectives, policies and procedures;
  • Participating in the development of the Customs Clearance work plan and preparing work schedules and expediting workflow to improve the efficiency of the Customs Clearance process;
  • Following up with the Procurement Unit and clients for reception of the complete set of shipping documents for customs clearance purposes and ensure its compliance with Ethiopian Customs regulations and exemption lists requirements;
  • Following up with the Freight Forwarders, couriers and shipping lines and the transporter(s) to ensure on time and complete delivery of cleared shipments;
  • Keeping records of all demurrages, detentions, etc. and follow up with the concerned entities for settlements and implements preventive actions to avoid future customs penalties;
  • Prepare and confirm all import permits from the Ministry of Foreign Affairs and the Ethiopian Revenue & Customs Authority are all in order and the appropriate formats;
  • Communicate with carriers, clients, and /or other agencies for missing information or required documents, and any other declarations required by the import regulations of the Ethiopian Government.
  • Provide a pro-active quality response to daily walk-in customers or messages, communicating and working in partnership with all relevant departments such as Admin, Human Resources, Finance, ICT and Programmes with regards to all relevant enquires received, etc.;
  • Provide a consistent customer service to new arrivals the different arrangements in place for newly assigned/reassigned staff members. These are in relation to accesses, letters, shipments, and others;
  • Develop and update standard operating procedures and advise newcomers on service level agreements as related to obtaining diplomatic identity documentation and permits, short term postings, new born, extending postings, and the like;
  • Manage a quality and consistent customer service for existing staff members. This will include duties such as creating note verbales to embassies and organizations to assist with visa applications, driving licenses, general enquiries, etc.;
  • Creating and recording note verbal’s, maintaining staff lists, file and maintain staff records and securing personal information at all times.

  • Proficiency in Microsoft office suite;
  • Attention to detail and initiative;
  • Good customer service skills coupled with an ability to handle difficult customers;
  • Ability to work under pressure;
  • Good organizing skills.
