Responsibilities: Under the direct supervision of the Portfolio Senior Manager, the Logistics Specialist will be responsible for the following duties including, but not limited to:

  • Develop and implement sustainable logistics strategies.
  • Plan, coordinate and implement logistics activities to ensure timely, cost effective service and safe delivery of goods to clients, in accordance with UNOPS Financial Rules and Regulations and UNOPS Procurement Manual.
  • Develop logistics standard operating procedures.
  • Manage the logistics component of the supply chain in coordination with the procurement Officers.
  • Ensure full compliance to the Financial Regulations and Rules of UNOPS and its Procurement Manual;
  • Liaise and coordinate with partners, suppliers, freight forwarders and different government offices to ensure efficient and effective customs clearance and delivery of procured items.
  • In collaboration with the procurement and project team, develop related storage and distribution strategies.
  • Develop monitoring tools related to logistics activities and ensure it is updated on a regular bases.
  • Maintain and monitor the monitoring tool and identify and rectify operational hindrance.
  • Ensure partners, procurement officers, logistics teams are timely updated about the procured items status from the time order is placed until it is finally delivered to partners.
  • Explore methodology and suggest for improvements to enhance the operational efficiency of the logistics team.
  • Facilitate the engagement and provision of high quality results and services of the logistics team supervised through effective recruitment, work planning, performance management, coaching, and promotion of learning development.
  • Provide oversight, ensuring compliance by the logistics team members with existing policies, operating procedures and best practices.
  • Work with team member counterparts on logistics needs to deliver schedules and provide technical support on handling logistics and cost implications for safe delivery both internationally and nationally.
  • Facilitate planning, designing and implementation of appropriate logistics systems including warehousing and in-country transport capacity, including establishment of Long Term Arrangements and frame agreements for e.g. customs clearance, storage, transport and distribution as might be required.
  • Oversees the progress of shipments for UNOPS and its partners and coordinate the delivery of the same at the partners delivery places.
  • Organize, facilitate and/or deliver training and learning initiatives for Business Unit personnel on logistics-related topics.
  • Lead and conduct initiatives on capacity development and knowledge building for logistics personnel, including network development, plans, learning plans and activities, logistics practice information and best practice benchmarking.
  • Oversee team’s contributions to logistics knowledge networks and communities of practice including collaborative synthesis of lessons learnt and dissemination of best practices in logistics management.
  • Guide team’s collection of feedback, ideas, and internal knowledge about processes and best practices and utilize productively.
  • Perform any other tasks as requested by the portfolio senior manager.

Qualification & Experience:

  • A Master’s Degree or equivalent in Purchasing and Supply Management, Business Administration, Public Administration, Procurement, or related fields is required.
  • At least two (2) years of experience working with International Commercial Terms (Incoterms) is required.
  • Experience in working with logistics and supply chain management systems would be an asset.
  • Experience/knowledge of Google Suite products, especially google forms, sheets, docs and slides is an asset.
  • Experience in use of Enterprise systems including OneUNOPS is desirable.
