UNDP Job Vacancy 2023

Duties and Responsibilities:

  • Maintenance of the supervisor’s calendar, contacts with high-ranking visitors, arrangement of appointments and meetings, acting as an interpreter when required and/or taking minutes;
  • Maintenance of protocol procedures;
  • Preparation of high quality briefing materials for supervisor for appointments, meetings, missions;
  • Coordinates and manages forward planning of the quarterly and long-term calendar of the RR, ensuring strategic prioritization of engagements;
  • Drafts correspondence, notes-to-the-file, and coordinates/contributes to other routine documentation required by the RR;
  • Maintains regular contact with the Office of the Directorate of Regional Bureau for Africa (RBA), the RBA Desk Officer, UN System partners, donors, IGOs, NGOs, and other multilateral agencies to keep the RR abreast of key developments within the organization;
  • Preparation of informal translations;
  • Engagement with the DRRs to follow up on RRs assignments in Programme and Operations that require follow up on decisions and actions;
  • Involve in High-level mission programming and coordination;
  • Management of RR missions and representation schedule;
  • Maintenance of rosters of high-level partners, telephone lists;
  • Preparation of correspondence, directives, comments on behalf of RR for his/her signature and making follow-up when required;
  • Use of automated office management systems for effective functioning of the RR office.
  • Maintenance of the filing system ensuring safekeeping of confidential materials. Use of automated filing system;
  • Coordination of the information flow in the office, follow up on circulation files;
  • Follow up on deadlines, commitments made, actions taken and coordination of collection and submission of the reports to RR;
  • Screening of all incoming calls and correspondence;
  • Presentation of proposals to eliminate communication bottlenecks in the office and streamline office procedures between the supervisor’s office and subordinate division;
  • Supports the organization of regular staff meetings and special events;
  • Supports effective internal communications with staff;
  • Coordinates special projects and assignments on behalf of the RR, frequently involving senior;
  • Managers of the Bureau as well as a broader constituency.

  • Experience in handling of web-based management systems;
  • Experience with international organizations, UN system, multilateral cooperation, etc is an asset.
