Job Responsibilities: Within delegated authority, the Special Assistant will be responsible for the following duties:

  • Conducts and coordinates the day-to-day work of the Deputy Executive Secretary by providing liaison services with all variety of clients, especially Divisions under the programme support pillar.
  • Prepares aide memoirs, memoranda and other substantive documents of a broad and complex nature, in coordination with Divisions to support the work of the Deputy Executive Secretary at meetings, on missions and as required.
  • Manages any relevant follow up actions with Divisions under the purview of the Deputy Executive Secretary and ensures timely completion.
  • Responds to relevant substantive correspondences. Arrange audiences, protocol, receive visitors and organize visits of external senior officials as required.
  • Supports the effective coordination of actions relative to the administration of human resource activities.
  • Supports the preparation and implementation of the work programme, ensuring that financial resources are utilized to implement activities in accordance with the Programme Budget and allotments issued.
  • Provides substantive support to the Deputy Executive Secretary on administrative issues related to the application of justice, procurement, contracts and programme management.
  • Contributes to the preparation and reviews of the work programme and budget of the office.
  • Supports procedures and processes that ensure that accounting and financial management controls are consistent with UN policy and practice.
  • Provides guidance and leadership to more junior staff.
  • Accompany the Deputy Executive Secretary to meetings and conferences and act as a note taker and monitors implementation of actions. Act as a note taker at Senior Management meetings.
  • Perform other duties as required.

Experience:

  • A minimum of five years of progressively responsible experience in administration, finance, accounting, human resources management or related field is required.
  • Experience in the area of contracts or administrative law is desirable.
