UNECA Job Vacancy 2023

Responsibilities:

  • Assist the Chief Property Management Unit (PMU) in ensuring that ECA inventory/ assets are properly managed and accounted for, including ensuring timely and accurate inventory count and reporting on all inventory at the end of the year close. Coordinate day-to-day operations of the central stores, including the administration and organization of all satellite storage locations/ warehouses;
  • Ensure that accurate and auditable records, in both hard and electronic format, are maintained for property control and accountability in conformance with Secretariat Administrative Instructions, Property Management Guidelines, and Standard Operating procedures;
  • Monitor the accuracy of PMU statistics maintained in Umoja, ensuring anomalies are identified and addressed immediately;
  • Identify issues and propose solutions to problematic areas of inventory and warehouse management;
  • Plan and coordinate the annual physical inventory count of ECA property, and investigate and reconcile any discrepancies, including ensuring that UMOJA records on inventory are updated;
  • Supervise and conduct receiving and inspection formalities for incoming items to ensure that goods received are in accordance with the requested specifications; and make necessary arrangements to return damaged or defective items;
  • Liaise with all substantive offices to receive and dispose of written-off items as per the recommendations of the Director, Division of Administration, and the Local Property Survey Board (LPSB);
  • Manages all storage locations, batch management, transfer orders, and putting away, conducts inventory analysis for warehouse management and implements effective stock control to meet client requirements and demand;
  • Plan and initiate requisitions, evaluate requirements, and prepare assessments for budget planning for all centrally managed office supplies;
  • Analyze trends on usage, costs, stocking, etc… and prepare reports and statistical information;

Qualification & Experience:

  • Completion of high school diploma or equivalent is required. Supplemental training in property control and inventory or related field is desirable.
  • A minimum of ten (10) years of progressively responsible experience in property management, logistics management, asset management, inventory control and management, supply chain management or related field is required. The minimum years of relevant experience is reduced to eight (8) years for candidates who possess a first-level university degree or higher.
  • Experience working with IPSAS, database administration, international operations and the UN enterprise resource planning system is required.
  • Experience working in Enterprise Resource Planning (ERP) (SAP/UMOJA), SAP Business Intelligence (BI), Power Bl is required.
  • Experience supporting more than one entity or multiple clients simultaneously is required.
  • Experience in property management performance monitoring and reporting is desirable.
